Who do I speak with about booking my event or having a site tour?
Bellewood is available for tours on most days; however, Tuesdays and Wednesdays are the most available days. Please email us at info@bellewoodvb.com to check availability, make your appointment, and schedule a tour of the venue.
What services does the rental fee include?
Bellewood provides the setup of tables, chairs, ceremony benches, and parking attendants. The rental fee also includes use of the prep/catering kitchen and an on-site month-of Wedding Coordinator.
The catering kitchen has a full-size refrigerator, a full-size freezer, two stoves, two ovens, and a stainless steel 3-compartment sink.
Will there be someone from Bellewood on-site the day of my Event?
Yes. The grounds crew maintaining the property will arrive early to spruce up the grounds, the on-site coordinator will oversee set-up, and the parking attendant will all be on the property on the day of the event.
Do I need a Wedding Planner/Coordinator?
Bellewood provides a month-of Wedding Coordinator to ensure that the wedding day goes as smoothly as possible. Should you decide you need additional help planning the wedding, you are more than welcome to hire an independent wedding planner to help with details beyond the coordination of the day of the wedding. Please e-mail us if you have questions regarding this service.
What are the rental times?
Depending on whether you are renting for the day or renting for the weekend, check-in times may vary. Daily rental times of the property are 11am – 11pm.
What is your alcohol policy?
You may provide your own alcohol or hire a licensed and insured bartending service to provide the alcohol. Should you decide to provide your own alcohol, you might consider adding our BAR package to your rental to ensure compliance with all Bellewood rules and regulations. Cash bars are not allowed at any time. Check out our Bar Package
Are there restrooms available for the guests?
The house has two restrooms on the first floor and two restrooms located on the second floor for guest use.
How many people can this location accommodate?
Bellewood can accommodate up to 150+ guests for an outdoor event. The Main House can accommodate 12 people comfortably for overnight stays. No events can be held inside the Main House.
Is the site handicap accessible?
Yes, there are several ramps on the property to access all event areas. All ceremony and reception sites are wheelchair accessible.
What’s your weather contingency plan for outdoor spaces?
We have a tent (50 x 100) covering the hard court area and recommend all receptions and floor plans be prepared for under the tented area. Bellewood can accommodate receptions under the oak tree of up to 100 guests; however, there is an additional fee. No floor plan changes will be made the week of the wedding, and tables and chairs cannot be moved on the day of the wedding. All floor plans must be submitted two weeks prior to the wedding.
Do you have an in-house caterer or a list of “preferred” caterers, or do I need to provide my own?
We have a list of preferred vendors that we will supply to you. You are welcome to use your own as long as they are properly licensed and insured.
Are tables, linens, chairs, plates, silverware, and glassware provided, or will I have to rent them myself or get them through my caterer?
We supply tables, chairs, and ceremony benches. All other items will need to be supplied by a rental company or your caterer. We do offer a Vintage Rental Package with mix-and-match vintage china and many other unique furnishings, as well as lounge furniture and table decor. Please inquire for further details.
Is there parking on site? If so, is it complimentary?
Yes, there is parking available for guests on the property, and it is included in your rental fee. All vehicles must park in the northwest parking lot. No parking is allowed on the grass anywhere. No vehicle shall park in the main driveway on the day of the event. All event guests shall be directed to the large parking lot on the north side of the property. A parking attendant will be available for one hour prior to the event to direct all traffic. The parking attendant’s fee is included in the rental fee.
How do I book your venue for my Event?
The venue manager will meet with you to review and sign a Booking Confirmation outlining your date, specific information, and pricing that you have selected as well as a Rental Agreement with property rules and regulations. To secure the date there will be a non-refundable $1,000 deposit and a signed Booking Confirmation and Rental Agreement.
What time must the event end?
All music must end at 10:00 p.m.; however, the rental fee includes use of the property until 11:00 p.m. unless you have rented the property for more than one night.
Who is responsible for setting up and tearing down the decor and when will it be completed?
The Renter is responsible for the breaking down of the event decor and cleaning up after the wedding/event. If you have hired a wedding planner separate from the Bellewood Coordinator for the day, it is still the renter’s responsibility to make sure the property is left in an acceptable condition. Bellewood will break down and put away the tables and chairs only.
